We also provide all training needed to fully understand the nature, capabilities and use of DocRunner. Only professionals with all the required qualifications and experience are provided for these projects.

The Need
For many organizations the process of handling all the changing possibilities, permutations, and combinations of Document Delivery is becoming a major concern. The need to get the right document to the right person via the right technology in the right format is getting more complex. The need to maintain and improve the quality of those documents, particularly customer orientated documents, is critical too. Quality is important.
DocRunner simplifies volatility and complexity.
DocRunner enables documents to be identified. ‘Destinations’ can be associated with these documents. Destinations are held within a central Repository and include Fax numbers, Email addresses, Printers, Paper stock, File locations, FTP sites.
As DocRunner becomes aware of a document being available it quickly directs it to the output Destination(s) recorded in the Repository, or indeed an ‘Override’ Destinations on a ‘one-off’ basis. DocRunner then records the document in it’s Archive for later use. The Archive intelligently retains documents according to ‘Rules’ defined in the Repository. Archived documents can be easily accessed by DocRunner users and called up for viewing or for re-delivering to the same Destinations or new Destinations.
As the physical ’destinations’ and ’media’ changes, as Email addresses change, as Customers move from requiring fax to email so DocRunner users can quickly and easily redirect the documents by making simple changes in the Repository, avoiding complex application reprogramming work.
Operations staff can see printer queues waiting for specific paper stock, for example, on their DocRunner Console.

Easy Access to Archived Output
Archival
DocRunner immediately enters the processed documents into its SQL-indexed archive. Archival ‘Rules’ are defined and associated with documents. The rules define how long the document will remain in archive and when the document will be released. The rules will also identify Archival Indexing and Tags to be applied to the document in the archive for extremel fast retrieval.
Access
Once safely locked in the Archive database it is important that users can gain quick and easy access to the documents. DocRunner provides a simple, clean-looking, Web-based, user interface supporting the commonly used Browsers. This allows users to quickly and efficiently get the documents they need whether it is for Legal Audit purposes, Customer Help Desk purposes, Vendor Support, Management Analysis or one of many other potential reasons. The efficiency is such that DocRunner can be a valuable support tool for those interfacing and working with customers on a regular basis. DocRunner enable users to search for documents by type, using the Archival Index Tags and as well as searching by date. DocRunner allows for searching by ‘Document Name’ and ‘Document-contains’.
Security
Security is a critical aspect of any Archival system that provides easy access to corporate documents. DocRunner provides a Security system that ensures only those with the correct clearance can access specific documents. DocRunner implements an approach where individuals or ‘Groups’ can be allocated specific clearance details. Individuals can be allocated to one or several groups. Managers have access to employee documents. This security is designed such that implementation is quick and easy.
Business Users
Having gained access to a document DocRunner allows users the ability to review it and re-process it if required. Re-processing will redeliver the document according to the rules in the DocRunner repository. Alternatively, you may elect to direct the document to a new user using new delivery methods, perhaps emailing instead of printing, creating a PDF in a folder instead of faxing… The user is able to get ‘copies’ to where they are needed immediately.

Output Management – Business Unit Access

For many organizations the ability to allow Business Unit users to control or to maintain the Document Outout process is an objective they aspire to. The need to deploy Programming effort to this function is a concern. It is not enjoyable work and takes time to test and ensure quality is delivered back to the users. The need to maintain and improve the quality of business documents, particularly customer orientated documents, is critical.

The need to continually change programs and code to ensure the right document gets to the right person via the right technology in the right format is getting more cumbersome. The need to apply High Gloss to these documents, particularly customer orientated documents, is critical too. The frequency with which the Business Units request Content change in documents is also a typical developer overhead that’s on the increase. This situation typically leads to delays for the Business Units. The time to make changes in the programming can be significant when set agaisnt work load and backlogs development teams are frequently working with.
